Email: whatever you choose to include when you email us, together with your email address and name.
When we do a job: your address for the home visit, the devices involved, appointment dates, the work done and the amount invoiced.
Website usage: pages visited, buttons clicked (for example "Email us" or sending the form), device and browser type, approximate location (city level) and how you arrived at the site. This is collected with Google Analytics cookies (see section 5).
We do not ask for your ID number, banking details or passwords. If we work on your device we may see files on it; we only access what is needed for the job and never copy or keep your files unless you ask us to (for example, during a data transfer or backup).
2. Why we use it, and our legal basis
- Replying to your enquiry (giving you a price and a time): based on your consent, which you give by ticking the box on our website form, submitting the Meta enquiry form, or emailing us.
- Doing the job and following up (booking, the visit, invoicing and checking that the fix worked): necessary to carry out the agreement you make with us, and our legitimate interest in following up on work we have done.
- Keeping invoices and records: to meet our legal obligations (for example, tax law).
- Website statistics and measuring our adverts: our legitimate interest in understanding which pages and adverts are useful. You can block these cookies (section 5).
We only contact you about your enquiry or booking. We will not send you marketing messages unless you have agreed to receive them, and every such message will let you opt out.
3. Who we share it with
We never sell or rent your personal information. We share it only with service providers that help us run the business, and only as needed:
- Meta Platforms (Facebook and Instagram): runs our adverts and the enquiry form, and holds the answers you submit there until we download them.
- Netlify: hosts this website and receives and stores website form messages.
- Google (Google Analytics and Google Tag Manager): website statistics.
- Our email provider, to send and receive email.
We may also disclose information where the law requires it, for example to a regulator or the South African Revenue Service.
4. Information sent outside South Africa
Meta, Google and Netlify store information on servers outside South Africa. We use them on the basis that they are bound by data-protection laws or agreements that give protection comparable to POPIA, as section 72 of POPIA requires.
5. Cookies and analytics
sortedza.tech uses Google Analytics, loaded through Google Tag Manager, to count visits and see which pages and buttons are used. Google Analytics sets cookies in your browser. We do not use the Meta Pixel or any other advertising tracker on this website.
You can block or delete cookies in your browser settings, or install Google's opt-out add-on (tools.google.com/dlpage/gaoptout). Blocking cookies does not stop the website from working.
6. How long we keep it
- Enquiries that don't lead to a booking (website form, Meta form or email): up to 12 months, then deleted. Website form messages are deleted from Netlify, and Meta form leads are downloaded and deleted from our records on the same schedule.
- Customer and invoice records: 5 years, as required by South African tax law.
- Website analytics: no longer than 14 months, set in Google Analytics.
7. How we protect it
We use password-protected accounts with two-factor authentication where available, keep records only on secured devices and services, and limit access to the people who need it to do the work. If we become aware of a security breach that affects your information, we will notify you and the Information Regulator as POPIA requires.
8. Your rights
Under POPIA you can:
- Access: ask whether we hold information about you and get a copy.
- Correction: ask us to correct information that is wrong or out of date.
- Deletion: ask us to delete information we no longer need or no longer have a reason to keep.
- Objection: object to us using your information, including for marketing.
- Withdraw consent at any time. This doesn't affect anything we did before you withdrew it.
To use any of these rights, email walter@sortedza.tech or use the contact form. We will reply within 30 days. If you are unhappy with how we handled your information, you may complain to the Information Regulator: inforegulator.org.za, POPIAComplaints@inforegulator.org.za.
9. Children
Our services are booked by adults. We do not knowingly collect personal information from anyone under 18 without a parent or guardian's consent.
10. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the effective date shown at the top.
